GENERAL: The 28th Annual Halloween Invitational pre-season meet
will be held on Sunday, October 28, 2007 at the Somerset Hills YMCA at 140 Mt.
Airy Rd. Basking Ridge, N.J. 07920 (Telephone 908/766-7898, Fax 908/766-8288). All competitors
will vie for medals/ribbons. Swimming merchandise will be sold. This meet contains 4 sessions as follows (i)
8 & Under Early Morning in Pool 1, (ii) 9-10 Early Morning in Pool 2, (iii)
11-12 Mid-Morning in Pool 1 and (iv) 13-18 Mid-Morning in Pool 2 (sessions
times will be announced after all entries have been finalized and the meet has
been seeded).
ENTRY INFORMATION: Entry fees are $3.50 per
individual. Swimmers may enter a maximum of 3 events (i.e. any combination of
individual and relay events but limited to 3 in total). There are NO minimum qualifying times for any of the events. Entries will be dated and accepted in order
of receipt until the time allotted for the Sessions is consumed. Entries
will not be considered complete without payment in full. The Somerset
Hills YMCA reserves the right to limit entries and to enter Somerset Hills YMCA
team members. A Team Manager Event file
named “Halloween Meet 2007” may be found at the Somerset Hills YMCA website (www.shyswimteam.org).
DEADLINE: All entries must be
received by 5:00 PM Sunday, October 21.
No exceptions will be granted and deck entries will NOT be
accepted. Entrants who are
closed out of the meet will be notified during the week of October 22nd and
their fees will be returned. All

AWARDS: For individual events, medals will be awarded for 1st through 6th
place and ribbons for 7th through 9th place.
For relays, medals only will be awarded for 1st through 3rd
place. Heat winners of all
individual events will be awarded ribbons.
The team coach (or representative) is to pick up the awards at the end
of the Final Session.
ENTRY FORMS: Entries must be submitted via Team Manager file and e-mailed to
Wally Parker at wparker593@patmedia.net
. Upon receipt, all coaches will
receive a return email confirming all entries for verification. No swimmers will be officially entered into
the meet until (i) each coach has confirmed his/her team entry roster via
return email (ii) has submitted an executed waiver and (iii) payment in full
has been made. Checks are payable to
SHY STPO and should be mailed in advance of the meet to Somerset Hills YMCA
Swim Team c/o Wally Parker, 140 Mt. Airy Road, Basking Ridge, NJ 07920 or presented the day of the meet to
the Meet Director, but only after
all entries have been confirmed and an invoice has been e-mailed to each
team. Executed waiver forms may be
submitted electronically. Please DO NOT
send a paper copy (except as noted below) or a diskette – all results will be
sent out via e-mail following the meet.
All entries must include the following information: swimmer’s full last
name, first name, middle initial, team affiliation, age, birthdate
(day/month/year) coach’s name, entry coordinator and telephone number (if
different from coach), desired event numbers, and corresponding seed times in YARDS. Entries with no times will be seeded last. Team with less than 25 splashes may submit
entries via paper if desires so long as all information noted above is
included.
RULES: This meet will follow USA Swimming rules. All events will be
timed finals. Age is to be determined by the swimmer’s age as of December 1,
2007.
TIMERS: All swim teams are required to provide a minimum of two timers
with watches for each session. The Meet Director will notify each team of
their timing and lane assignments.
OFFICIALS: All officials who wish to volunteer to officiate at the Halloween
Meet should contact the Meet Director via e-mail as noted above.
FACILITY: The Somerset Hills YMCA will be using 2 pools simultaneously,
each is a six lane, 25 yard pool with a Colorado Timing System. Spectator areas include (i) bleachers on the
deck in Pool #1 and (ii) the upper balcony bleacher seating in Pool #2.
POSITIVE CHECK-IN:
Swimmers MUST check in with their coach by the start of the warmup session
(i.e. 8 & U and 9-10 by 7:00 AM; 11-12 and 13-18 by 10:00 AM) The time line is subject to revision based
upon the finalized and seeded entries.
Updates will be issued as appropriate.
SCRATCH PROCEDURE: Twenty minutes before the start of each session, each coach/team must
submit a neatly written and discernable scratch sheet as set forth below. There
will be NO scratch meeting. Any
swimmer not scratched using this procedure who does not swim an event will be
considered a “no show” and shall be disqualified from any remaining competition
for that session.
In
each Team Packet will be (i) a SCRATCH SHEET for your team, (ii) Relay entry
forms and (iii) a copy of the LANE TIMING and WARM-UP ASSIGNMENTS. Please return the SCRATCH and RELAY SHEETS
to the computer table properly marked up as set forth below.

A few other points to keep in mind regarding
scratches:
1.
Please write
legibly so that your intent is clearly understood – nobody can read the
handwriting of a doctor, don’t write like one.
2.
Please use
first and last name in identifying swimmers for relay teams. This meet has several sessions and a time
line to be adhered to. While you may
know your swimmers those at the scratch table do not –.
3.
All scratch
sheets are due to the scratch table not less than 20 minutes before the start
of the session. Relay entry
substitutions must be submitted to the scratch tables at least 20 minutes
before the relay event is to occur.
MARSHALLING: All Swimmers in the 8 & Under and 9-10 Sessions will be
marshaled in the YMCA Gym for their respective SESSION. Heat and lane assignments will be posted in
the gym for all sessions. A Marshal
Assistant will lead all Marshaled Session swimmers for an event to the pool area. Parents are strongly encouraged to remain
with their swimmer(s) in the gym while they await their event. Swimmers and parents should bring a blanket
and games, books, etc. to occupy themselves.
BALL PLAYING and FOOD ARE NOT
PERMITTED IN THE GYM OR POOL AREAS!!!
Because spectator space is limited, swimmers are NOT permitted in the
pool unless swimming.
RESULTS: Official results will be posted on the corridor wall leading to
the gym. Results will be available via
e-mail following the meet
REFRESHMENTS: A variety of food, snacks and
drinks will be available for sale during all sessions at Port City Java,
located in the YMCA in the back of the building beyond the main entrance.
Swimming Merchandise: Metro Swim Shop will be on site selling swimming merchandise during this
meet.
ADMISSION &
PROGRAMS:
Spectators will be charged $2.00; children under 8 and meet participants will
be admitted free. Psych Sheets for the individual sessions will be available
for $2.00 per copy. If you have
questions regarding a swimmer’s status, please notify your coach, who should in
turn contact the one of the officials or the Meet Director prior to the start
of a particular session.
DIRECTIONS: The Somerset Hills YMCA is
located at 140 Mt. Airy Rd. (Rt. 525) which is south of the I-287
Bernardsville/Basking Ridge exit. Please take I-287 to the Bernardsville/Mt.
Airy Rd, northbound Exit 26B, proceed under the highway or southbound, Exit 26
bear right off the exit – proceed toward the traffic light and bear right at
the fork before the light.. The Somerset
Hills YMCA is ¼ mile on the right. Ample
parking exists on-site – kindly park at the far end so that regular Y members
are not inconvenienced.
CONSTRUCTION
UPDATE: After 2
years of renovations, construction at The Somerset Hills YMCA is now
complete. We are using the main
entrance and will be swimming in the new pool.
Once inside the building, a greeter will direct all swimmers to the pool
and parents/family members to the spectator area in the balcony.
